To make it easier to get help identifying, writing, and polishing grant applications, Florida Hospital’s Office of Research Administration recommends Grants Office, a national grants development services firm with a full service consulting practice.
Grants Office can be engaged to provide one or more of the following services:
- Grant writing support
- Proposal editing and review
- Research and consultation
Your department is responsible for paying for these services, so be sure you obtain appropriate budgetary approval to engage Grants Office. Prior to beginning any engagement, Grants Office should provide you with an estimate of the costs associated with the services you have selected and a timeline for their completion.
How to engage
- Contact Grants Office to arrange a no-cost initial consultation on any project. You may Call the Grants Office Helpdesk at (585) 473-1430, Log into UPstream at grantsoffice.com using the "Log into UPstream" button above, or FAX a Grant Support Request available here.
- Grants Office will provide an initial consultation on your project at no charge, to determine its relative potential for funding and to identify potential funding sources that might support it.
- Grants Office will provide you with an estimate, which will document the nature of the services to be provided, estimated costs, and contact information for all parties on the project.
- Once you approve the estimate, Grants Office will send you a contract that has been approved by Florida Hospital Legal that will contain a work order specific to the services they will be providing to you.
- Once you receive the contract, please review the work order carefully. If it is not accurate, work with Grants Office to ensure the scope of services, and dates you will receive deliverables meet with your approval.
- Obtain signature from appropriate person in your department.
- Forward signed contract to Grants Office.
- Let the grant development begin!

Grant Writing Support |
When you engage in grant writing, or grant proposal development, expect Grants Office to provide and manage a professional grant writer who will prepare a proposal to the grant program you select. This process requires a minimum of four weeks prior to your internal institutional deadline (usually one week before the grantor's official deadline), and more time often results in a more competitive proposal.
Once the process is initiated, Grants Office will host a call to discuss the requirements of the grant program and what they will need from you in terms of project information and budget details. In addition, they will discuss any collaborative engagements the program may require and how those collaborations will need to be articulated for the proposal.
From that point, the grant writer will be in regular contact as (s)he develops successive drafts of the proposal and passes them to you and the Grants Office team for review. Throughout the process, you will have an opportunity to review a minimum of two substantially completed drafts of the project narrative, though there may be many more drafts, depending on how the process flows. Depending on the complexity of the proposal, expect to spend up to 30 hours working with the team to gather information, plan the project details, and work with other parties on the proposal.
Once the grant writer has narrative and budget, and these have been approved by you, Grants Office will work with you to develop all the required forms for submission, including ensuring that you have the proper credentials for an electronic submission, if the funder has an online submission portal. Depending on the specific submission requirements of the grant and the type of funder, your application will need to be finalized at least two working days before your internal institutional deadline in order to be submitted by Office of Research Administration or the Florida Hospital Foundation, as appropriate. Expect any subsequent questions, site visit requests, or additional follow-up information to come to you directly. You can reach back out to Grants Office at any time for help addressing these items as well.
The fee for grant writing support is based on the complexity of the application and is charged upon submission of the grant application.

Proposal Editing and Review |
If you’re planning to develop a proposal yourself, proposal editing and review offers an objective assessment of your proposal in the context of the scoring criteria (if available) or published grant program requirements that reviewers will be using to evaluate your submission. Expect to submit your proposal for review a minimum of one week prior to the internal institutional deadline for applications, to allow time for Grants Office to review the proposal and for you to integrate the feedback as you see fit.
The Grants Office team will provide up to two rounds of comprehensive review and will provide feedback on all aspects of your proposal, including the narrative elements, budget, and required forms.
The fee for proposal editing and review is based on the complexity of the application and is charged upon delivery of the second or final round of feedback.

Research and Consultation |
Research and consultation is a flexible hourly-based option that enables you to engage grant support for specific aspects of the proposal development process, which may include writing portions of the proposal, developing a budget, or researching demographic or population data.
Expect the support you request to take a reasonable amount of time. The Grants Office team will always be able to provide you with an estimate, cognizant of the deadline for the proposal you are preparing.
The fee for research and consultation is based on an hourly rate.
